Search for a rental car inspection checklist and most results are forms designed for rental company staff — not for you. This checklist is different. It is designed for renters who want to protect themselves before driving away.
Why you need photos before you drive away
Rental companies control the vehicle inspection process. Their staff complete the condition report. Their photos document the car at return. If damage appears after your rental, the burden falls on you to prove it was already there.
Timestamped, geotagged photos taken before you move the car are the most effective evidence you can have. They show the condition of the vehicle at the exact moment you took possession of it.
This checklist is designed to make sure you capture the right photos in the right order — before you drive anywhere.
Before you start
These steps take thirty seconds and make a significant difference to the strength of your evidence.
- Enable location services so your photos are geotagged.
- Photograph before you move the car from its pickup space.
- Keep your original photos — do not crop or edit them.
- Use your flashlight in underground car parks or anywhere the light is poor.
- If staff have marked pre-existing damage on the rental agreement, photograph those markings too.
- Repeat this entire process when you return the car.
What to photograph
Work through this list before you drive away:
Inspection
- Rental agreement (including any damage diagrams)
- Pickup location (showing bay number if possible)
- Front of vehicle
- Rear of vehicle
- Both sides (include the lower panels and door edges)
- Both side mirrors (close-up for scratches)
- All four wheels (include the full wheel and tyre)
- Mileage and fuel level (switch the car on first)
If you find damage
- Wide shot (shows where the damage is on the vehicle)
- Close-up (shows the damage itself)
